Presentation Preparation

Speakers must use the conference PC (desktop) provided by us (Windows 10 and PowerPoint).

They are required to prepare their presentations in PowerPoint (.pptx or .ppt file) or pdf format. The file name must start with the presentation number followed by your full name. (ex. Sat-A1-1_ John Smith)

All presenters are required to submit their files in a USB to the Presentation Desk in the Entrance Hall at their earliest convenient time. Then the files will be transferred to the computer at the podium. You can use a remote pointer that is provided only if you decide to use this computer.

As an exception, if you wish to use your personal computer, please contact the conference secretariat in advance. Wi-Fi is not available for the presentations to avoid issues. You would need to connect your personal computer to ZOOM using a LAN cable.

Onsite Presentation

When the chairperson introduces you, please proceed to the stage and open your PowerPoint (or pdf) file which is located on the conference PC and change the presentation mode with the PowerPoint laser pointer. Use the hand microphone or wear the pin microphone on the podium. You can use the digital pointer which will be wirelessly connected to the conference PC.

IMPORTANT

If you feel unwell or the health authorities do not allow you to enter the conference venue, please contact the conference secretariat (ivc2022@c-linkage.co.jp). In that case, please join the session online (instructions are provided on the next page) from the hotel.

Presentation Preparation

Online speakers need to use ZOOM as a presentation and communication tool. You need to download it from https://zoom.us/ in advance or use it in your browser. You are also requested to learn how to use it independently.

Online Presentation

Please connect to the designated ZOOM URL during the break before the session of your presentation and test your presentation. The ZOOM meeting links for the oral sessions are available from the “Confit system” that is linked from the IVC-22 website (login needed). When the chairperson introduces you, share the screen to start your presentation.

Poster Size

Posters should be no larger than 841 mm wide by 1189 mm high (A0 size) in portrait orientation. Please do not exceed this size.

Poster Preparation

All illustrations, charts, and text materials to be put up must be prepared ahead of the meeting. Duplicating and graphic arts facilities will not be available during the meeting.

Poster Setup and Removal

All posters must be set up one hour before your poster session. Please be careful not to use the old tentative poster number but the final one. You need to put up your poster on the board along with your poster number. Remove your poster immediately after each poster session.

Onsite Poster Session

The onsite poster sessions will be held from Monday–Wednesday immediately following the parallel session or lunch break (17:30 on Monday, 17:00 on Tuesday, and 12:30 on Wednesday) in the Main Hall close to the vendor exhibition. The posters will be judged for the award during the poster session. The authors must be present near their poster during the duration of the poster session.

NOTE

  • Please put up your poster on the board along with your poster number. Pins will be provided in the room.
  • If you find a poster left at your location when setting up, please remove the previous poster and bring it to the Service Counter in the poster room. It will be discarded by the conference staff.
  • If you feel unwell or the health authorities do not allow you to enter the conference venue, please contact the conference secretariat (ivc2022@c-linkage.co.jp). The committee will try to arrange your poster for the online poster session (Wednesday 20:30–22:00).

Poster Size and File Format

Posters should be no larger than 841 mm wide by 1189 mm high (A0 size) in portrait orientation. Please do not exceed this size. Prepare your poster file in png or jpg format, and save it under the name of PosterNo_YourName.jpg or PosterNo_YourName.png. Never use the old tentative poster number. File size must not exceed 3 MB. Do not use a transparent background.

Poster Setup

Upload the file by September 7th to the URL as instructed in the e-mail that will be sent to the online poster presenters.

Online Poster Session

The online poster session will be held using “Gather Town.”

Access to the Online Poster Session is available from the “Confit system” that is linked from the IVC-22 website (login needed).

A brief guidance on “Gather Town” will be posted on the IVC-22 website.
