Personal information handling/outsourced management for booking accommodations and Entrants, Returnees Follow-up System (ERFS) applications
IVC-22 ( “the Congress”) devotes close attention, as described below, to the handling of the personal information which it is provided.
1. Purposes of Uses for Personal Information
The Congress uses the personal information in our possession within the extent necessary for the purposes outlined below. The Congress does not use the personal information is has obtained for any other purposes. Furthermore, in the event of an individual purpose of use, it will be disclosed.
We ask that individuals provide personal information to the Congress at their own discretion. However, if we are unable to obtain necessary information in the course of the operations of the Congress, it may not be possible for the following services to be adequately provided by the Company.
- Confirming applications for services offered by the Congress, and provision of said services
- Accommodations bookings submitted through the Congress website
- ERFS application by proxy submitted via the Congress website
- Providing information regarding the Congress, etc.
- Inquiries, sending documents
- Confirming applications for electronic mail delivery service, and delivering mail
2. Use and Provision of Personal Information
The Congress uses personal information within the extent necessary to achieve the purposes of use, and will not provide any information to third parties without the advance consent of the individual, with the exception of the following circumstances. Furthermore, it will not be used for any purpose aside from those disclosed in advance.
Shared use by the Congress to achieve the purposes of use
When it is necessary for the protection of the life, body, or property of an individual and it is difficult to obtain the consent of the individual, or when a demand for disclosure is made by legal means. When the disclosure of personal information is demanded by the authorities, such as police or other law enforcement agencies.
3. Personal Information Security
In order to prevent the wrongful acquisition of the personal information in our possession by third parties, we take necessary measures for stringent security.
4. Outsourcing of Personal Information Handling
The Congress may outsource personal information management to achieve the purposes of use in whole or in part. When outsourcing such duties, we shall select outsourcers on the condition that they maintain a sufficient level of personal information security, exchange confidentiality agreements, and stringently manage security.
5. Details of Management by Outsourcers
The Congress uses the personal information in our possession within the extent necessary for the purposes outlined below. The Congress does not use the personal information is has obtained for any other purposes. Furthermore, in the event of an individual purpose of use, it will be disclosed.

- Personal information shall be obtained, used, and provided appropriately and only within the scope of the purpose of use, together with measures to ensure that such information is not used for any other purpose.
- With regard to the risk of leakage, loss, or damage of personal information, we will implement measures to prevent accidents and correct them, and continuously improve the security system concerning personal information.
- We will comply with laws and ordinances, national guidelines, and other norms concerning personal information.
6. Notification of Purposes of Use, Disclosure, Correction, Deletion, and Termination of Use of Personal Information
Individuals may request notification of purposes of use, disclosure, correction, deletion, or suspension of use of the personal information in our possession. In such cases, the Congress may verify the identity of the individual making said request. After doing so, we will respond to the request promptly.
